Mail at a street
A street plus a box number. Staff log the mail and show you the outside. You choose what happens next.
Address, phone, rooms
A business-center address, mail handling, a receptionist or call service, and some room time.
Do you work there?
Banks and Google ask where you operate. A plan you never visit does not answer that.
What a virtual mailbox is
A virtual mailbox is a street address at a commercial mail receiving agency (CMRA). A CMRA is a private business the Postal Service lets receive mail for other people. Your address is the company's street, plus PMB or # and your box number. PMB means private mailbox.
USPS Form 1583 is the USPS form that authorizes a CMRA to accept your mail. You sign it with two IDs before the company can keep your mail. Then staff photograph each envelope. You choose: open and scan it, ship it, shred it, or hold it. How a virtual mailbox works follows one letter through those steps. A mail scanning service covers the scan.
The price is a monthly plan plus extras for scans, postage, and check deposits. What a virtual mailbox costs lists what each company printed.
What a virtual office is
A virtual office is a plan sold by a business center or coworking company. The plan is built around an address in their building. The extras are what set it apart from a mailbox.
The Regus virtual office page, read October 20, 2026, is a typical description. It lists a business address you can use on websites, letterheads, and business cards. It lists mail handling services. It lists live receptionists or virtual attendants who answer calls in your business name and forward them on to you. It lists access to meeting and office space on demand, with credits that depend on your plan. The page does not print a price. It says prices are quoted at the time of inquiry.
That is one company's plan. Others sell different bundles under the same name. Read what the plan includes, line by line, before you compare prices.
A virtual office address is still a CMRA for mail
People expect the office plan to be a different kind of address. For mail, it usually is not. Section 508.1.8 of the Domestic Mail Manual says a business that accepts mail for others as a business service is a CMRA. It names office business centers as CMRAs too. So the business center still needs your Form 1583 before it can keep your mail, and the address still uses PMB or # and a box number.
A suite number on a nice tower does not change that. This site's city pages call those "prestige floors." Boston lists two office floors with mail plans: Idea Space on Boylston Street, with a published virtual mail plan at $59 a month, and Common Good Co. in Waltham, with a Virtual Office tier at $99 a month. Both are listed on that page as office-building listings, not packing counters. Nashville, Raleigh, and Detroit show the same split between store counters and office floors.
Virtual office vs virtual mailbox, side by side
| Question | Virtual mailbox | Virtual office |
|---|---|---|
| Address | A street, plus PMB or # and your box number. | A street in a business center. Still a CMRA for mail. |
| Envelope photo, then scan, ship, shred, or hold. | Mail handling. Read the plan for scans and forwarding. | |
| Phone | Not part of the product. | Often a receptionist or call answering service. |
| Rooms | None. | Meeting or office time, often by credits. |
| ID form | PS Form 1583. | PS Form 1583 for the mail. |
| Cost | A monthly plan plus extras. | Often higher. One Boston office lists $29 for mail and $99 for its Virtual Office tier. |
Google Business Profile: the test most people fail
Google Business Profile is the listing Google uses for Maps and search. Its guidelines are direct. If your business rents a physical mailing address but does not operate out of that location, that location is not eligible. P.O. boxes and mailboxes at remote locations are not acceptable.
The same page covers coworking. A business cannot list an office at a coworking space unless that office has clear signage, receives customers there during business hours, and is staffed during business hours by your own staff. A service-area business cannot list a virtual office unless that office is staffed during business hours. Businesses that show an address should keep permanent signage with the business name there.
So the meeting-room credits in a virtual office plan do not earn a Maps pin. A staffed office with your sign on it can. If you serve customers at their homes, Google says to hide your address and list a service area instead.
Banks: what each address can do
KYC means Know Your Customer: the checks a bank uses to confirm who you are. Mercury's address article says it does not accept a P.O. box, a virtual address, a commercial mail receiving agency, a mail center, or a registered agent address as the physical address. It does list proof of occupancy at a coworking space as a supporting document. Relay's help page, updated August 11, 2026, says the operating address can be a home or a physical office where the business is run, and cannot be a virtual mailbox or mailbox rental service.
Read that carefully. A virtual office plan you never use is a virtual address. A desk or office you actually rent and work from, with paper to prove it, is a different thing. The bank decides which one it is looking at. What banks accept goes through the fields one bank at a time.
Registered agents and state filings
Neither plan makes the business center your registered agent. Delaware says so in its LLC statute. 6 Del. C. § 18-104(e)(2) says a registered agent may not perform its duties solely through the use of a virtual office, a mail forwarding service, or both. Texas Business Organizations Code § 5.201 says the registered office may not be solely a mailbox service or a telephone answering service. A phone service is not an agent either.
An agent is a named person or company that agrees to the job. A virtual address for an LLC separates the lines on a filing.
Which one to buy
-
You need mail handled while you are away
Buy a virtual mailbox. It is built for the envelope photo and the scan. Pick by the room that handles your mail, using the grades below.
-
You want someone to answer the phone
Compare a virtual office plan with a standalone call answering service. The bundle only saves money if you use both parts.
-
You meet clients a few times a month
A virtual office with room credits can fit. Count the credits against the meetings you actually hold.
-
You need a Maps pin or a bank operating address
Neither plan alone. You need a place you operate from: your home, or a staffed office with your sign.
For the mailbox, grade the room, not the ad. VirtualPostMail runs its own rooms, with a mail grade of B. US Global Mail runs its own rooms, with a B+. iPostal1 (C-) and Anytime Mailbox (C) send your mail to local stores and office floors. PostScan Mail (C+) mixes a few company rooms with many stores. The methodology page explains the letters.
Questions people ask first
Is a virtual office address better than a virtual mailbox address?
For mail, they are the same kind of address. Both are CMRAs, and both need Form 1583. The office plan adds a phone and rooms.
Can I put a virtual office on Google Maps?
Not unless it is staffed during business hours by your staff, receives customers, and has your sign. A rented address you do not operate from is not eligible.
Will a bank accept a virtual office?
Mercury and Relay rule out virtual addresses and mailbox rentals for the operating field. Mercury accepts proof of occupancy at a coworking space as a document. Ask the bank before you sign a lease.
Can a virtual office be my registered agent?
Not through the office plan. An agent is a named person or company that agrees to the job. Delaware says an agent cannot work solely through a virtual office.
Which is cheaper?
Often the mailbox, because it sells less. Common Good Co., on the Boston page, lists Basic mail at $29 and Virtual Office at $99 a month. Compare the full plan, including scans and forwarding.
