Guide

Mail arrives. Then you decide.

How does a virtual mailbox work? You rent a real street. A person at that street takes the letter. You see a photo of the envelope. Then you choose what happens next.

Not legal advice. The ID rules come from the Postal Service. This page explains the public steps. It does not fill out the form or open an account for you.

You pick a company and a street. That street sits at a commercial mail receiving agency (CMRA). A CMRA is a business the Postal Service lets receive mail for you. It is a private company. It is not a box you rent at the post office, and it is not your house.

The Postal Service’s rulebook is the Domestic Mail Manual. Section 508.1.8 says a CMRA accepts U.S. Mail for someone else as a business service. The same section says the company needs PS Form 1583 on file before it can keep your mail. Form 1583 is the USPS form that lets a mailbox store accept mail for you. You sign it in person at the store, or on a live video call with a notary. You show two kinds of ID. The store checks that those IDs match the home address you wrote down.

The home line on that form is the place you live. The mailbox line is where the letters go. Mixing those two lines is why a lot of first mailboxes never go live. The ID list and the notary steps are on Form 1583.

A bank runs a different identity check. The bank calls it KYC. KYC means Know Your Customer: the checks a bank uses to confirm who you are. Form 1583 lets the mailbox hold letters. It does not open the bank account.

How does a virtual mailbox work once the letter is inside

The mail carrier drops the piece at the street you rented. Staff log it. The app asks you what to do. The Postal Service does not run that app. The mailbox company does.

  1. Step 1

The letter arrives. It is addressed to you at the CMRA street, plus your box number. The manual says the envelope should show PMB or # and that number. PMB means private mailbox. Mail missing that mark can come back as undeliverable.

  2. Step 2

You see the outside. The company photographs the envelope. That picture is the envelope scan. The letter is still closed.

  3. Step 3

You pick one action. Open and scan, forward, shred, or deposit a check when the company offers that.

  4. Step 4

They do that action. Open and scan means they open the envelope and photograph the pages. Forward means they mail the piece to an address you name. Shred means they destroy it. A check deposit means they send the check into a bank deposit instead of mailing the paper to you.

Companies do not all work at the same speed. Ask the one you pick how fast the photo shows up. VirtualPostMail includes scanning, forwarding, and check deposit on its mailbox. iPostal1 is the other kind of product: a login that sends the letter to a local store. How a virtual mailbox differs from a virtual business address

A virtual business address is the street you type on a form. A virtual mailbox is the service that handles the letters that arrive there. On most of these products, both words point at the same CMRA. The jobs are still different.

The street can receive ordinary mail after Form 1583. A lawsuit, an IRS form, and a bank’s question about where you work each ask for something more than that street. A virtual business address for an LLC separates those lines. What banks accept reads the bank’s address boxes one by one.

Does a virtual mailbox near me have to be near you?

The street can be in another city. You read the scans on your phone. “Near me” matters when you want to sign Form 1583 at the counter, or when you want a store you can call.

There are two ways the letter gets handled. One is a company-run hub: a mailroom the company staffs itself. The other is a store network: you buy a login, and a local packing store does the work. The methodology page is why a hub can earn a higher mail grade and still fail a bank check. The grades are separate on purpose.

Houston is a city where the company-run room is in town. US Global Mail staffs a mailroom at 1321 Upland Drive. Most other Houston pins are packing stores on a store network. Los Angeles is the metro version of the same split. VirtualPostMail publishes its California mailbox in Covina, in the county, east of downtown. The downtown pins are store counters. Austin is the “near me” trap. We did not find a company-run hub there. VirtualPostMail publishes its Texas mailbox in Keller. If you need an Austin ZIP on the envelope, you are shopping a store network.

New York is the other company-run room US Global Mail names, on Greenpoint Avenue in Long Island City. Dallas is the store-network case. The company-run Texas rooms sit in Keller and Houston. A Dallas ZIP means a counter.

Anytime Mailbox and PostScan Mail sell store counters. PostScan Mail also runs some rooms itself. A counter near you can still be the right buy when you can call it. It is still a CMRA.

Google Business Profile (GBP) is the listing Google uses for Maps and search. Google’s guidelines say a rented mailbox you do not operate from is not eligible. A virtual mailbox does not become your shop because the street is in your city. When Amazon, Stripe, or Shopify asks where the company works, start with what those companies accept.

Questions people ask first

Can the store keep mail before the form is done?

No. If the CMRA has no Form 1583 for you, section 508.1.8 says it must give that mail back to the Post Office. The piece goes back marked that the store is not allowed to receive mail for you.

What if you cancel?

The same section says the CMRA must send your mail to an address you gave them, for at least six months after the account ends, unless you wrote that you do not want that. That mailing needs new postage. That rule is about mail after you cancel. It does not promise how fast the scans were.

Will this pass a bank or a Maps listing?

A normal virtual mailbox receives mail. A bank’s “where you work” line and a Google Maps pin ask for a place you actually use. Buy the mailbox for the letters.

Read the company page before you pay

iPostal1 sends the letter to a partner store. VirtualPostMail handles mailbox mail in rooms the company runs, in a short list of cities. The buttons at the top of this page go to those companies. Read the live page for the current price.
