A real address
You rent a street at a private business. Senders write that street, plus your box number.
The outside, first
Staff show you the envelope after it arrives. Opening it is a separate request.
Forward when you ask
You name where the piece should go. They add postage and ship it. They do not ship every letter on their own.
What is a mail forwarding service
A mail forwarding service receives mail for you, then gets that mail to you somewhere else. You might ask for a look at the envelope. You might ask them to ship the piece. You might ask them to hold it.
The private version is a street you rent. That street sits at a commercial mail receiving agency (CMRA). A CMRA is a private business the Postal Service lets receive mail for customers. It is not a box you rent at the post office, and it is not your house.
Section 508.1.8 of the Domestic Mail Manual says a CMRA accepts U.S. Mail for someone else as a business service. A business that mainly reships mail counts as a CMRA too. The same section says the company needs PS Form 1583 on file before it can keep your mail. USPS Form 1583 is the USPS form that authorizes a CMRA to accept your mail. You sign it in person, or on a live video call, with the store or with a notary commissioned in the United States. You show two kinds of ID. The home line is where you live. The mailbox line is where the letters go. The ID steps are on Form 1583.
The envelope needs your name, the street, and PMB or # plus your box number. PMB means private mailbox. The manual says mail missing that mark can come back as undeliverable. If the building already has a suite, you still write PMB. You do not glue the suite and the box number into one line.
A PO Box is a different product. You rent it from the post office. This service is a street at a business. Read the address before you pay. If the line is a post office box, you are not buying this product.
What a professional mail forwarding service does
The street comes first. Senders address letters and packages to you there. Staff log the piece and show you the outside. The letter stays closed until you ask them to open it. That inside photo is a separate job, covered on a mail scanning service.
The shipment is the part people hire. You name an address. The company puts postage on the piece and sends it. You can also ask them to shred it or leave it in the box. Those choices, one letter at a time, are on how a virtual mailbox works.
A bank runs a different check. KYC means Know Your Customer: the checks a bank uses to confirm who you are. Form 1583 lets the mailbox hold letters. It does not open the bank account. Google Business Profile is the listing Google uses for Maps and search. Google's guidelines say a rented mailbox you do not operate from is not eligible. Shipping a letter does not make the street your shop. What banks accept reads the address boxes one by one.
The post office order is a different product
USPS mail forwarding is a change of address you file with the post office. The post office reroutes mail from your old home to a new one. The USPS forwarding page, read October 18, 2026, says a temporary order is for a stay of 15 days up to 1 year, such as school or time with family. A permanent order is for a move. Both end.
The Domestic Mail Manual, section 507.2.1.3, is stricter than that one-year line. The first temporary order runs from 15 days to 185 days. A second order can reach 364 days. The class-by-class windows, and the pieces some senders block, stay on the USPS guide. This page does not repeat that chart.
The forwarding page also says the order only changes your address with the post office. You still tell agencies and companies yourself. A private street does not override a sender who will not mail there.
A professional mail forwarding service does not start that timer. Senders write the rented street from the first day. The service keeps going until you close it. It does not reroute mail that is still addressed to your old house. File the post office order for the old house. Use the private street for mail you want sent there. They are two tools.
| Question | Private service | USPS change of address |
|---|---|---|
| Who receives it | A private business at a street you rent. | The Postal Service, rerouting your old address. |
| Where senders write | The new street, plus PMB or # and your box number. | Your old address. The post office sends it on. |
| How long it lasts | Until you close the account. | A set window. Then it stops. |
| Who sets the fee | The company. Read its page. | The Postal Service, by the kind of mail. |
What to check before you sign
-
A street, not a PO Box
Ask for the full line you will put on a form, including PMB or #. A post office box is the other product. A suite number on an office building is still a CMRA if that is how the store files Form 1583.
-
Form 1583 on file
The store cannot keep your mail until the form is done. Each adult who receives mail at the box signs one. If your name or your home address changes, you sign a new form. The notary can be in the store or on a live video call.
-
Scan fees and forwarding fees
The monthly plan is the rent for the street. A photo of the pages inside, postage, and a handling charge can sit on top of that rent. Read the fee list before you pay. What a virtual mailbox costs records what each company's own page printed on October 11, 2026. Those company pages are secondary sources. Prices change. This page does not add a dollar the company page did not print.
-
Package handling
Ask which carriers the store accepts, what counts as oversized, and how long they hold a box. The USPS order forwards some package classes and not others. A private store can refuse a carrier the post office would have taken. Ask before a large box ships.
-
International forwarding
If the piece has to leave the country, read the company's shipping page. The USPS forwarding page says a move outside the United States has to be filed in person at a post office before you leave. That filing is not the same as a company that ships a box abroad. People who live abroad should start with an expat mail forwarding service.
-
How to cancel
Section 508.1.8 says that when you and the CMRA end the relationship, neither of you files a change of address with the post office. The company writes the end date on Form 1583. It must remail your mail for at least 6 months to the address on that form. Ask, before you sign, where that remail goes and what they charge to ship it. The manual does not set that charge.
What is the best mail forwarding service
There is no single best mail forwarding service. The best one does the job you have. Grade the mail, not the ad. The letters below are the mail grades on this site. The methodology page says how a letter is chosen. A higher letter can still be the wrong city.
A company-run room means staff who work for the mailbox company ship the piece. VirtualPostMail runs its own rooms. The mail letter is a B. US Global Mail also runs its own rooms. The mail letter is a B+. You get fewer cities. The shipment is steadier than a store that also sells boxes and tape.
A store network is an app that sends the mail to a local counter. The counter does the shipment. iPostal1 is a C-, because the store does the work. Anytime Mailbox is the same kind of map. The mail letter is a C. PostScan Mail uses some rooms it runs and many stores. The mail letter is a C+. The letter moves with the room you actually get.
A wide map wins when you need one specific city. A company-run room wins when you need the same people to ship the box every week. Open the city page. Then call the counter.
A traveler, including someone who lives in an RV, may want the mail to sit in a state that does not tax personal income. The tax rule and the mailbox are different facts. A mailbox does not, by itself, make the city your home. South Dakota's Department of Revenue says the state is one of seven that does not impose a state income tax. Sioux Falls and Rapid City list private counters. Neither page names a company-run room in the city.
The Texas Constitution, article 8, section 24-a, says the legislature may not impose a tax on the net incomes of individuals. Houston has a company-run room on Upland Drive, so that company's staff can ship the piece. Austin does not name a company-run room. The Austin shipment is the store's job.
The Florida Department of Revenue says Florida does not impose a personal income tax. Miami is a store-network city. The page does not name a company mailroom in Brickell. The Nevada Department of Taxation says the state does not impose a state income tax on individuals. Near Las Vegas, the company-run room is in Henderson. A Flamingo counter is a store.
A business that wants a New York street can start with New York. The company-run room is on Greenpoint Avenue in Long Island City. A Midtown counter is a store shipping the box. A Delaware company still needs a registered agent in that state. 8 Del. C. § 132 says a registered agent may not perform its duties or functions solely through the use of a virtual office, the retention by the agent of a mail forwarding service, or both. Wilmington lists mailbox doors. Those doors hold paper. They do not accept a lawsuit. The statute uses the words "mail forwarding service." It does not say a customer cannot rent a mailbox.
Questions people ask first
Is a PO Box a mail forwarding service?
No. A PO Box is a box at the post office. This service is a private street. The envelope uses PMB or # and your box number.
Do I still file a USPS change of address?
Yes, if mail is still going to your old home. The private street does not reroute that mail. The USPS order does, for a set time. Use both when you are leaving a house and starting a rented street.
What is the best mail forwarding service?
The one that matches the job. A company-run room is the steadier shipment, in fewer cities. A store network is how you get a street in a city that has no company room. Read the mail letter, then read the city page.
Will the street pass a bank or a Maps listing?
No. KYC and Google Business Profile ask whether you operate at that street. Buy the service for the mail.
What should I ask before I cancel?
Where they will remail for the six months the manual requires, and what that shipment costs. Neither you nor the store files a post office change of address just because the mailbox closed.
