PO Box vs virtual mailbox: a box you visit, or a street that scans

A PO Box is a locked box inside a post office that you open with a key. A virtual mailbox is a street address at a private business that receives your mail, shows you the envelope online, and ships or scans it when you ask. Pick the PO Box if you live near the counter and only need letters. Pick the virtual mailbox if you are away, need a street line, or want to read mail from a screen.

Not legal advice. The Postal Service writes the PO Box rules. A private company writes its own mailbox fees. Banks and Google write their own address rules. This page explains the public ones. It does not rent a box or open an account for you.

What a PO Box is

The USPS PO Box page calls it a locked mailbox inside a Post Office. Your mail waits there until you pick it up. Most locations have five sizes. The smallest holds 10 to 15 letters. The largest holds several packages. A package that does not fit is held at the counter or put in a parcel locker.

You rent the box for 3, 6, or 12 months. The 3-month term renews on its own, and the USPS page says you cannot opt out of that renewal. The 6-month and 12-month terms let you opt out. The page does not print a national price. It says the price depends on the location. Section 508.4.4.1 of the Domestic Mail Manual says the fee is set by the box size and the fee group of the 5-digit ZIP Code.

To open one, you fill out PS Form 1093 online or at the counter. You show two forms of ID. If you apply online, the USPS page says you have 30 days to bring the ID to that Post Office. After the clerk checks it, you get two keys or a combination.

The manual adds a few limits people do not expect. Only mail and official USPS notices go in the box. If your mail overflows the box on 12 of any 20 business days in a row, the post office can make you move to a bigger box or to caller service. A box may not be used mainly to get free forwarding.

What a virtual mailbox is

A virtual mailbox is a street address at a commercial mail receiving agency (CMRA). A CMRA is a private business the Postal Service lets receive mail for other people. Section 508.1.8 of the same manual covers it. Your address is the company's street, plus PMB or # and your box number. PMB means private mailbox.

USPS Form 1583 is the USPS form that authorizes a CMRA to accept your mail. You sign it with two IDs before the company can keep your mail. The steps are on Form 1583. After that, staff log each piece and photograph the outside. You choose what happens next: open and scan it, ship it to you, shred it, or hold it. How a virtual mailbox works follows one letter through those choices.

The private company sets the price. A monthly plan is the rent for the street. Scans, postage, check deposits, and shredding can cost extra. What a virtual mailbox costs lists what each company's own page printed when we read it. This page does not repeat those numbers.

Packages: the biggest practical difference

A plain PO Box address is for the Postal Service. A private carrier does not deliver to "PO Box 1234." That is why an online store sometimes refuses a PO Box at checkout.

Some post offices fix that with Street Addressing. The USPS page says that, where it is offered, you can use the Post Office's street address plus your box number. Packages from UPS, FedEx, DHL, and Amazon can then reach the box if they meet USPS mailing standards. Section 508.4.1.2 of the manual says the option is only at competitive locations, and it needs a customer agreement. The manual's example is "123 Main Street #4567." Section 508.4.5.4 caps those private-carrier packages at 70 pounds and 130 inches in combined length and girth.

A virtual mailbox takes private carriers by design, because its address is already a street. The company still decides which carriers, what counts as oversized, and how long it holds a box. Read its package page before a large order ships.

Which one a bank, the state, or Google will take

Neither product is a place where your business operates. Most problems start when someone types a mailbox into a field that asks where the company works.

KYC means Know Your Customer: the checks a bank uses to confirm who you are. Relay's help page, updated August 11, 2026, says an operating address cannot be a PO Box, a virtual mailbox, or a mailbox rental service. It can be a home address or a physical office. Mercury's address article says it does not accept a P.O. box, a virtual address, or a commercial mail receiving agency as the physical address. So for that field, both products fail. What banks accept reads the address fields one bank at a time.

Google Business Profile is the listing Google uses for Maps and search. Google's guidelines say P.O. boxes and mailboxes at remote locations are not acceptable. They also say a business that rents a mailing address but does not operate there is not eligible. A virtual mailbox does not pass that test any better than a PO Box.

State filings split the address into lines. Florida is a clear example. On the Florida LLC filing, the principal office must be a street, and a post office box is not allowed there. The mailing line can be a post office box. The registered agent needs a Florida street and a signature. A virtual mailbox is a street, so it can sit on a mailing line where a PO Box can too. It still does not act as the agent. A virtual address for an LLC walks through the lines for other states.

When a PO Box is the better buy

The manual has one more case. Section 508.4.5.2 says a box can be free (fee group E) when your address is inside that post office's delivery area and the Postal Service does not deliver to it. That is for people with no carrier delivery. It is one free box per delivery point.

When a virtual mailbox is the better buy

Grade the room, not the ad. A company-run room means staff who work for the mailbox company handle the mail. VirtualPostMail runs its own rooms, and its mail grade on this site is a B. US Global Mail also runs its own rooms, with a B+. A store network is an app that sends your mail to a local packing store. iPostal1 is a C-. Anytime Mailbox is a C. PostScan Mail, which uses some rooms it runs and many stores, is a C+. The methodology page says how a letter is chosen.

The city decides which kind you can get. New York has a company-run room on Greenpoint Avenue in Long Island City. Los Angeles has one in Covina. Boston, Austin, and Nashville are store-network cities on this site: a street there is a packing store or a suite number sold by an app. Open the city page and read the street before you pay.

Can you have both

Yes. Some people keep a PO Box for personal letters and rent a street for business mail and packages. The two do not share a form. The PO Box uses PS Form 1093. The mailbox uses PS Form 1583. Neither one changes your home address with the post office.

If you are leaving a house, a USPS change of address reroutes mail still addressed to the old place for a set time. A PO Box or a virtual mailbox only gets mail that senders write to it. Update your bank, the IRS, and anyone else who mails you.

Questions people ask first

Is a virtual mailbox the same as a PO Box?

No. A PO Box is a box in a post office lobby. A virtual mailbox is a street at a private business that scans and ships mail. They use different USPS forms.

Can a PO Box get UPS or FedEx packages?

Only at post offices that offer Street Addressing. There you use the Post Office street address with # and your box number. Ask at the counter whether your location has it.

Which one can I use for a business bank account?

Neither one, for the field that asks where the business operates. Relay and Mercury both say so on their own pages. Some banks allow a separate mailing address. Read the field label.

Which one is cheaper?

It depends on the ZIP Code and the company. USPS prices a box by size and fee group. A mailbox company charges a plan plus extras. Compare the full year, including scans and postage, not the first month.

Can I list either one on Google Maps?

No. Google's guidelines rule out P.O. boxes and rented mailing addresses where the business does not operate.
